We’re looking for a detail-oriented, reliable, and highly organized Virtual Assistant with a solid background in real estate administrative support and leasing coordination. You will play a crucial role in supporting day-to-day operations from managing property ads and lease renewals to helping with market surveys and performance reports across multiple properties.

The Role: Leasing Virtual Assistant (VA)

You are an experienced Virtual Assistant who understands the real estate industry—especially leasing, marketing of rental units, and administrative support for property management. You work with minimal supervision, manage multiple tasks and deadlines with ease, and can follow existing processes while also improving them through better documentation and workflow optimization.

You are someone who’s naturally organized, proactive, and communicates professionally—someone the team can rely on to keep everything running smoothly behind the scenes.

Roles and Responsibilities

You will be responsible for the following objectives:

  • Manage and supervise vacant property ads to ensure consistent visibility across platforms (Apartments.com, Zillow, Craigslist, Social Media)
  • Monitor and confirm all vacant unit postings are current and accurate
  • Assist in lease renewals and rent increase notices: ensure POS updates are completed in Yardi
  • Check Yardi system to verify best practices are followed for all move-ins and move-outs across properties
  • Order signage as needed (A-frames, banners, etc.)
  • Compile Weekly Unit Availability Reports every Monday, send drafts for approval, and dispatch final version by Tuesday 9:00 AM
  • Prepare Weekly Performance Reports each Tuesday; send once approved by Wednesday 2:00 PM
  • Communicate proactively to ensure on-time report completion and approval
  • Conduct rental comp research: call buildings, gather market rental rates, and confirm data accuracy using tools like CoStar
  • Update the Leasing Director about the rent info with market findings via email or schedule call meetings as needed
  • Coordinate and complete Market Surveys by calling building managers (weekly or bi-weekly) based on client needs
  • Create, update, and improve internal process documents and SOPs for better operational efficiency
  • Maintain shared documents and records to ensure version control and accessibility

Qualifications We’re Looking For

To excel in this role, you must possess the following qualifications:

  • 4+ years of experience as a Virtual Assistant or Admin Support (real estate or property management industry highly preferred)
  • Familiarity with property management tools like Yardi, Apartments.com, Zillow, and CoStar
  • Strong English communication skills—written and verbal
  • High level of organization, time management, and attention to detail
  • Proficient with Google Workspace and online collaboration tools
  • Comfortable conducting phone calls and surveys professionally
  • Able to follow processes independently and suggest improvements
